Zambia - Register a Society


Procedure

Apply In-Person:

  1. To register a Society in Zambia, the applicant will have to contact the Ministry of Home Affairs, please tap on the following link to view contact details: link.
  2. Make sure to have all the documents that are listed under the “Required Documents” section of this page.
  3. An application form will be provided to the applicant upon visiting the Registrar of Societies department of the Ministry of Home Affairs, find the form on page 31 of the following pdf file: form.
  4. Once understanding the guideline properly, the applicant has to fill in all the necessary information in the application form.
  5. Pay the fee as given in the “Fees” section of this page.
  6. After the completion and verification of all the required documents, the society will be registered.
  7. Collect the certificate of registration from the office in a stipulated period of time.


Apply Online

  1. Visit the following e-service portal: online portal.
  2. Find and click on the “Registration of Societies” under service type.
  3. A new page will appear with the following points: Who can Apply, Eligibility Requirements, Process Steps, Processing Time, Validity, Fee and Legal References.
  4. Click on “Apply for Service” present on the top of the page.
  5. Those who are applying for the first can register here: registration portal.
  6. Login using the NRC or passport number and password after clicking on “Apply for Service”.
  7. Once logged in, the “Application Form” to be filled can be seen for the service requested.
  8. To complete the “Application Form”, enter the 4-digit PIN (in place of e-signature) and click “Submit”.
  9. The digitally signed Application just submitted will be visible.
  10. The application submitted will be permanently stored in “My Workplace”.
  11. It can also be printed or downloaded.
  12. Follow the process by clicking on the “Next” button at the bottom of the page. The next page will show the “Treasury Invoice Form” (it is read-only, however, can be printed or downloaded for records).
  13. Select the appropriate payment method and proceed with payment upon being redirected to the Payment Processor’s system, then returned to the Application.
  14. Upon confirmation of payment, a Treasury Receipt will be visible, which is the official proof of payment made (download or print it out for records).
  15. Click “Finish” to send the application for processing.
  16. Once the application case is processed, the applicant will receive the “Approval Notice” (or "Rejection Letter").
  17. It will be permanently stored in “My Workplace” and can be printed or downloaded.
  18. In case of approval, the applicant can go to the Service Provider station and receive the "Certificate of Society Registration".




Required Documents

  • Copies of national registration cards (NRC).
  • Passport or driving licence in respect of Zambians and immigration permits in respect of non-Zambians must be submitted for each office bearer.
  • Detailed CV’s with traceable references for each office-bearer.
  • Copy of Constitution.
  • Confirmation of not belonging to any political party for each office-bearer.
  • Fingerprint certificates from police department.
  • Two (2) copies of the society’s constitution drawn in line with the stipulated guidelines.
  • Recommendation letters from line ministries. Note that: all community service societies such as orphanages, women’s clubs, must attach recommendation letters from the ministry of community development and social welfare.
  • In case of a branch of a registered society, a letter of recommendation from its headquarters and a copy of the registration certificate must also be attached to the application.

Eligibility

  • Applicants should be bona fide residents of Zambia.
  • Applicants should be of age – 18 years and above.
  • Applicants should be of Sound Mind.
  • There should be a minimum of ten (10) office bearers.



Fees

  • Registration Fee:
    • Political Party - 8333 ZK.
    • Religious Group – 3334 ZK.
    • Pressure Group – 5000 ZK.
    • International Society – 3334 ZK.
    • Professional Society – 4167 ZK.
    • Cultural Groups/Sport – 833 ZK.
    • Women/Youth/Club/Farmers Group – 375 ZK.
    • Community Service Society – 1667 ZK.
    • Branch of a Registered Society – 417 ZK.



Validity

The validity of the registration certificate is subject to deregistration or cancellation of the certificate.

Processing Time

The processing will depend on the verification of submitted documents. It is three(3) days for the applicants availing online service.

Instructions

All the ten members appearing on the application form must be scrutinized and cleared by the police before the application for registration is submitted to this office.


Required Information

  • Names of the members, addresses, NRCs and signatures
  • Phone numbers of the ten (10) office bearers.
  • Proposed name of the Society
  • Proposed address of the Society
  • Date of formation




Need for the Document

  • The certificate of registration proves the Society has been legally registered under the Societies Act of Zambia.
  • Society Name should be registered in order to be protected so that it may not be used by another.
