Apply Online (For Deductor) - Apply for Tax Deduction Certificate For Deductor Online with images
- Applicants shall visit the government website in the below link Link
- Choose the option for “Deductor”. Type the “User Id”, “Password” and “TAN for deductor” (Tax Deduction and Collection Account Number). Then, click on the “Login” button if already a user.
- Otherwise click on the “Register as new user” button. Select type of user as “Deductor” and click on “Proceed” button. Type the “TAN of Deductor” and “verification code” (captcha) under “Step1”. Then, click on the “Proceed” button.
- Fill all the required details such as Challan Identification Number (CIN) details, PAN details, etc under “Step2”. Then, click on the “Proceed” button.
- Fill the organisation details and communication details under “Step3” and click on the “Proceed” button.
- Under “Step4”, type “User Id”, “Password” and “Confirm new password”.
- Next, click on “Create account” button.
- After clicking the “create account” button, the details entered will be displayed, check it and click on confirm button.
- Activation code 1 will be sent through email and Activation code 2 will be sent through SMS.
- Open email and click on the activation code link. Type the “User Id”, “Code sent through email” and “Code sent through SMS”. Click on “Submit” button, then the account will get activated.
- Now, login using the credentials into the account.
- Click on “Downloads” button. Click on “Form 16” or “Form 16A”.
- There are two methods to fill this part. In one method, fill in the details under “Search PAN”, click the “Add” button. Next, click on “Go” button to proceed to the next part.
- In the other method, fill in the details under “Bulk PAN Download” and click the “Go” button to proceed.
- The details to be printed on the form will be displayed. Check and click on “Submit” button.
- In the next page, fill in the required details such as Challan Identification Number (CIN) details, PAN details, etc and click on “Proceed” button.
- The request number will be displayed which must be noted down.
- Click on “Downloads” button and choose the option “Requested downloads”.
- Choose the option “Request number” and fill in the request number which appeared in the step 17 and click on “Go” button.
- If the form is available after processing, it can be downloaded by clicking on the “HTTP download” button.
- Next, the TRACES utility can be downloaded to get the TDS certificate in required format. Click the button “Click here” to download the utility. Type the verification code (captcha) and click on “Submit” button.
- Download the required PDF converter from the portal and install it.
- Open the PDF converter. Then, choose the file which has the TDS certificate. Type the password and other details. Click on the “Proceed” button. Finally, the TDS certificate in PDF format is ready.
Apply Online (For Buyer or tenant) - Apply for Tax Deduction Certificate For Buyer or Tenant Online with images
- Applicants shall visit the government website in the below link Link
- Choose the option for “Tax Payer”. Type the “User Id”, “Password” and “PAN for tax payer/ AIN for PAO”. Then, click on the “Login” button if already a user.
- Otherwise click on the “Register as new user” button. Select type of user as “Tax Payer” and click on “Proceed” button. Type the required validation details and “verification code” (captcha) under “Step1”. Then, click on the “Proceed” button.
- Fill all the communication details under “Step2”. Then, click on the “Next” button.
- Under “Step3”, type “User Id”, “Password” and “Confirm new password”. Next, click on “Create account” button.
- After clicking the “create account” button, the details entered will be displayed, check it and click on “confirm” button.
- Activation code 1 will be sent through email and Activation code 2 will be sent through SMS.
- Open email and click on the activation code link. Type the “User Id”, “Code sent through email” and “Code sent through SMS”. Click on “Submit” button, then the account will get activated.
- Now, login using the credentials into the account.
- Click on “Downloads” button. Click on “Form 16B/16C (For buyer/tenant)”.
- Fill in the required details and click on the “Proceed” button.
- The details to be printed on the form will be displayed. Check and click on “Submit Request” button.
- The request number will be displayed which must be noted down.
- Click on “Downloads” button and choose the option “Requested downloads”.
- Choose the option “Request number” and fill in the request number which appeared in the step 13 and click on “Go” button.
- If the form is available after processing, it can be downloaded by clicking on the “HTTP download” button.
- Next, the TRACES utility can be downloaded to get the TDS certificate in required format. Click the button “Click here” to download the utility. Type the verification code (captcha) and click on “Submit” button.

Apply In Person
- To Apply for Tax Deduction Certificate, the applicant has to approach department of taxes link
- An application form will be provided to the applicant by the concerned officer, or the applicant can download the application form from the following link link
- Please fill the application form with essential information and details and it should be attested with the applicant’s signature.
- Make sure that you have all the documents that are listed in “Required Documents” section of this page. Attach all the important documents mentioned with the application form.
- Applicant has to attach the photo copies of the required document along with the application form.
- Then, it should be submitted to the relevant authority. Also pay the required fees for the application process at the office as directed by the officials. Please collect the acknowledgement slip for the paid fee. Keep it safe for future reference.
- Your application and attached documents will be sent for verification to check, if there is any discrepancy.
- Then the application will be processed further. All the updates on the application status will be sent via SMS to the applicant’s mobile number.

Eligibility
- The employer should generate TDS certificate using Form 16 for employees whose total gross income exceeds Rs 2.5 lakhs per annum.
- Person making payments as specified under income tax act should deduct TDS at the time of making payments.

Instructions
- Fill in the correct Primary Mobile number and E-mail ID to receive the activation link and codes, as user needs to activate the account within 48 hrs of Registration.
- Please do not copy /paste the data.
- The Amount must be entered in two decimal places (e.g., 1234.56).
- PAN status should be active at the time of registration.
- PAN status can be checked at Income Tax Department website (www.incometaxindia.gov.in).
- In case of individual and proprietor, PAN of deductor and PAN of authorized person may be same. In all other cases PAN of deductor and PAN of authorized person may be different.
- In case incorrect communication detail and address detail are submitted, wait for 48 hours. Once ,account gets deactivated, try to register again as new user with correct details
- Account activation must be completed within 48 hours of registration else account will be deactivated and you will have to register again on TRACES
- Please check your “Spam box” of registered e-mail id for activation link.

Need for the Document
- It is needed to file the income tax return.
- It is required to check whether correct taxes have been paid to the government.
In a financial year, five types of TDS certificates can be obtained.
- Form 16 – It is obtained from his/her employer for tax deducted on the salary income.
- Form 16A – It is obtained from a bank for tax deducted on interest income on fixed deposits.
- Form 16B – It is issued by the buyer of a property to the seller for tax deducted at source (TDS) on the payment made for the property to the seller.
- Form 16C – It is issued by a tenant to the landlord for tax deducted at source on monthly rental exceeding Rs 50,000.
- Form 16D – It is issued by individual/HUF for tax deducted on payment to contractors or professionals exceeding Rs 50 lakh during the financial year.
Other uses of the Document/Certificate
TDS certificate is also used as income proof in other transactions such as loan processing.

Tax Deduction at Source (TDS) certificate is issued as a proof that tax amount has been deducted from a person’s income and paid to the government as income tax. It should be issued by employer or any other institution from which the income is obtained. The deductor deducts the tax amount from the tax payer’s income.
