Procedure
Apply via Agent
- Licenses issued by the Authority expire on the 30th June of every year and license holders wishing for renewal thereof may apply by 1st June preceding the expiry of the license.
- A coffee roaster license holder shall be renewable by 30th June of every year upon payment of the renewal fees.
- The coffee roaster license is issued by the Agriculture and Food Authority.
Apply In-Person
- Application for renewal of a Coffee Roasters License is done in person by visiting the Agriculture and Food Authority Board Head Offices or their field offices in the counties.
- Here you will be issued with an Application for renewal of coffee roasters license to fill and submit.
- This form can also be downloaded online by visiting the Agriculture and Food Authority- Coffee Directorate Web page
- Tick the renewal option as you fill in the required information carefully and attached the required documents. These documents can be seen in the “Required Document” section of this page.
- In addition to the required documents the board will require the applicant to submit returns for the year.
- Submit the completed renewal application form and pay the required application fee of Ksh. 1000 and submit the receipt as proof of payment.
- This will be followed by an inspection of applicant by the Board field Officers.
- The Board field officers will make recommendations for renewal of the license and forward their report forwarded to Board’s Headquarters for the ultimate Board approval.
- Upon a successful approval by the board a list of approved/ renewed coffee roasters is published in the Kenya gazette.
- At this point the applicant is notified and he/she will be required to pay the respective license fees as prescribed by the board and submit the receipt as proof of payment.
- Once the license renewal processing is done the Renewed Coffee Roasters License is issued to the applicant by the Managing Director of the Agriculture and Food Authority.
Required Documents
- Copy of current coffee rosters license.
- Individual National ID/Passport No. and KRA PIN.
- Names of company directors, individual National ID/Passport No, Pin Numbers
- Tax compliance certificate from Kenya Revenue Authority (KRA) for the Company
- Compliance with statutory requirements, including but not limited to, NEMA certificate (where applicable) Safety and Occupational Health Certificate (where applicable) and Business Permit.
- Audited book if accounts and returns of the current year.
- Any other requirements that may be prescribed by the Authority from time to time
All renewal applications will be subjected to an integrity vetting process and any false information provided by the applicants or other integrity issues will lead to prosecution and cancellation of the license.

Fees
- Renewal Application fees is Ksh 1,000 (Non-refundable)
- License fees Ksh 7,500 (Paid annually)
Validity
- The license is valid for a period of one year.
- The license expires on the 30th June of every year.

Need for the Document
- A coffee roasters’ license authorizes the holder to conduct the business of roasting coffee for local sale or for export
- No person can carry out business as a coffee roaster unless he has a valid Coffee Roaster’s License. Therefore one needs to renew their license to continue with operations.
- Coffee licenses in the coffee industry expire by the 30th of June of every year and license holders apply to the Board for renewal one month prior to the expiry.
- New license applicants apply any time within the financial year for consideration and licensing.
- Applicants can deliver or send hard copies of the application to the Coffee Directorate offices countrywide. Details of the various offices can found in the “Office Locations & Contacts” section of this page.
- In Kenya No person shall, for commercial purposes of buy, sell, pulp, mill, warehouse, export or otherwise deal in or transact any business in coffee unless he holds a current license issued by the Authority or the respective County Government for that purpose.
