1. An application for the renewal of a Flight/ Ground Instructor License shall be submitted to the Civil Aviation Authority of Botswana (CAAB) office, not later than sixty (60) days prior to the date of expiry of the current license. CAAB Contact Details.
2. The application shall be made in writing in such a manner as prescribed by the CAAB office and shall be accompanied by all the supporting documentation as mentioned under the “Required Documents” section of this page and submitted to the CAAB head office, Personal Licensing unit for consideration. Any omission of the required information or documents will render the application process incomplete.
3. Upon receipt of the application, the Personal Licensing officers will check for discrepancies or ineligibility in the application documents. If a discrepancy that cannot be immediately corrected exists in any of the documents, the application and all the submitted documents will be returned to the applicant and should not be re-submitted until the discrepancy has been rectified.
4. If the Personal Licensing officer is satisfied that all the requirements have been met for the application for the license, the application is registered for processing and consideration.
5. Applicants will be required to pay prescribed fees, mentioned on the CAAB fee schedule (refer to the “Fees” section of this page), which is payable either in cash at the CAAB cashier counter/accounts office or by cheque in favour of the CAAB.
6. The applicant is issued with a payment slip and an acknowledgment slip as proof of submission of the application and for inquiry referencing if the need arises.
7. Upon submission of the application documents the authority will then carry out an in-depth review of the contents of each document submitted for regulatory compliance, relevance and scope.
8. After a successful evaluation phase, when all regulatory requirements for approval of the license are satisfactorily met, the Authority shall prepare and issue to the applicant the Renewed License that shall be valid for a period of twelve calendar months (12 months) which indicate the approval scope and limitations.
9. A notice of the decision (Approval, Deferral, or Rejection) for the application will be communicated to the applicant by phone or mail after fourteen (14) working days.
10. Proceed to the CAAB personal registration and license office and present the acknowledgment letter and identity document and proof of payment of the license fee to be validated by the licensing office.
11. The applicant will be made to, sign on the signature pad/book and will be issued with the printed renewed license.

An applicant for a renew of a ground instructor license shall:

• Be in possession of a valid or expired Ground Instructors certificate.
• A holder of a ground instructor license shall not perform the duties of a ground instructor unless within the twelve preceding months the person has served for three months as a ground instructor. This will be substantiated by a letter from the ATO where the Ground Instructor Tutors.

• Ground Instructor License is valid for one (1) year from the date of issue or last renewal and it shall remain valid for that specified period unless, cancelled, revoked or suspended by the authority.
• Applicants need to apply for license renewal to CAAB at least sixty (60) days before expiry.

• The Ground Instructor license allows the holder to offer various kinds of ground instruction required of those seeking pilot licenses and ratings. They are issued with ratings, and these determine the exact areas in which the holder may give instruction.
