Step:1 How to keep the pesticide record
- To Keep Pesticide Record, the applicant has to approach the USDA – Agricultural Marketing Service, U.S Department of Agriculture link
- The applicant has to download the record keeping form from the following link
- Followed by the applicant has to keep the recording book, the keeping record book can be download from the following link
- The applicator has to fill in all the details in the record.
- Fill in the month, day, and year of application. WPS also requires the applicant to post the time of application, so record time here as well.
Step:2 Timing details
- The pesticide label lists the Restricted Entry Interval. The application information for workers must remain posted until 30 days after the end of the REI.
- When there is no REI, the notice must remain for 30 days after the application date.
- If the applicant applies pesticides in a tank mix with different REI’s, write down the longer REI.
Step:3 Fee
- The pesticide label will usually give the minimum to maximum of the application rate per unit (for example, 1.5 pints per acre). Record the rate of actually use.
- Record the number of units treated. This may be acres, linear feet, bushels, cubic feet, square feet, or number of animals, etc. For special applications (for example, alternate middles, weed wicks, band applications) record the total area covered.
- A 20-acre field treated using an alternate middle approach would still be recorded as 20 acres.
- The total amount applied refers to the total quantity of product used, not the quantity after water or carrier are added. Amount does not refer to percent of actual ingredient.

Step:4 Pesticide record inspection
- The designated State, Federal, or tribal agency personnel may have access to inspect the applicant’s records. Certified/licensed health care professionals, or those acting under their direction, may have access to the record information when treating an individual who may have been exposed to restricted use pesticides.
- In the case of a medical emergency, record information must be made available immediately.
- Private applicators are randomly selected to be inspected. Random selections are made from a State's certified private applicator list or the RUP sales list of pesticide dealers.
NOTE:
- The name or certification number will not appear on the inspection sheet and the results of the specific inspection will remain confidential.
- Applicators must make these records available for inspection and copying by representatives of EPA for a period of at least two years from the date of use of the pesticide.

Eligibility
All the private farm applicators need to keep the pesticides record for 2 years.
Fees
- Fee payment will vary according to the farm acres.
- Any private certified applicator who fails to comply with the regulations shall be subject to a civil penalty of not more than $750 in the case of the first offense, and shall be subject to a civil penalty of not less than $1,100 for each violation for subsequent offenses.

Need for the Document
- In accordance with the 1990 Farm Bill, all private applicators are required by law to keep record(s) of their federally restricted use pesticide (RUP) applications for a period of 2 years.
- AMS has agreements with Federal, State, tribal, and U.S. territory agencies to monitor certified private applicators to maintain RUP records through record inspections.
