Kenya - Renew Clinical Officer Practice Licence

Clinical officers in the public sector intending to continue practicing in the medical profession are required to renew their public practice licenses after two (02) years with the Clinical Officers Council. Clinical Officers Council (COC) Office Location and Contact Details
The license is renewed with CPD points being a contributing factor as well as the observation of professional standards and ethics.
Apply In-Person:
- The application shall be made in writing using a prescribed form obtainable at the Clinical Officers Council Office o download it via the Clinical Officers Council (COC) website COC Downloads or directly download it using this link: Application / Renewal Of Professional Practice License Form.
- Upon obtaining the application form, the applicant should legibly complete the forms, attach the relevant supporting documentation as listed under the “Required Documents” section of this page. The complete file should be submitted to the Registration and Licensing Department of the clinical Officers Council for processing.
- The application shall be accompanied by an applicable renewal application fee. All payments to the council should be made through the Bank; proof of payment should be submitted to the council office for verification. Please refer to the “Fees” section of this page for more information.
- Upon submission of the application, the department officer will check for discrepancies or ineligibility in the application documents. If a discrepancy that cannot be immediately corrected exists in any of the documents, the application and all the submitted documents will be returned to the applicant and should not be re-submitted until the discrepancy has been rectified corrected.
- Where all the required information and documents have been submitted for processing, applicants will receive an acknowledgment receipt as proof of submission of the application and for future inquiry.
- Upon successful review, the applicant will be awarded a new practicing license. This usually takes a period of 07 days.
- The applicant will be notified to collect his/her practicing license via text or phone call.
- While collecting the license the applicant will be required to bring proof of identification and the acknowledgment slip and surrender the expired license.
Apply Online
Step 1: Register with the Clinical Officers Council (COC) portal. (For new users)
- Applicant should browser the COC Online Service Portal
- On the Home page, users already registered, should type in their username or email address and password to sign into the COC account.
- Those without an account should hover the mouse cursor over the “ Not Register” hyperlink located on the bottom of the homepage and click on it.
- The “Register for Online Service” window will pop up, input the required information.
- Select “PRACTITIONER” under the “SELECT CATEGORY” option.
- Input your “Registration Number”
- Input your ID Number
- Input your email address
- Then click on the “Register for Online Service” tab.
- Upon entering the required information for registration click on the “Register for Online Services” Tab.
- This will cause a confirmation email link to be sent to the applicant's email address.
- Applicants should log into their email address and confirm the registration by clicking on the “Complete Registration” button, in the email which has been sent to him/her.
- This will direct the applicant back to the COC Online Service Portal.
Step 2: Update User Profile
- Once finished registering, the new user needs to update their profile for the account to be active. Follow these simple steps:
- Choose a username that you will be using to sign in.
- Fill in the other boxes with your cell phone and postal address details.
- A good password contains both alphabetical letters (should be inclusive of capital and small letters) and numbers.
- Upload a colored passport photo for your profile picture.
- After filling in all the required areas to complete creating your profile, click on the update details buttons.
Step 3: Renew the Clinical Officer Practice Licence:
- Upon the completion of updating details for your profile, select the “Renewal” button which will appear on a new tab.
- Select the button written “Retention”.
- This will facilitate the online renewal license application form to open, Populate all the available fields accurately, provided all required information relevant to the application, upload all the supporting documentation, and then check the Accept Terms and Conditions of Use thereafter before clicking on the “Submit Application” button.
- This will cause an invoice for payment of the application fees to be generated.
Step 4: Make payment for the license fee:
- On the Invoice, page click on the “Click to Pay Now” button to pay for the Registration and Licensure Examinations.
- Proceed to make the payment using the instructions given online. The payment instructions will be generated and displayed automatically in the portal. More information about the examination fees to be paid is given in the “Fee” section of this page
- Note: Wait for approximately 10 minutes then refresh the invoice page. After refreshing the page, the Applicant should find copies of the receipt ready to be printed.
- Click on the “Download Receipt” button to download the payment receipt . Print the receipt and license and keep it for future reference.
Step 5: Obtain the Practice License:
- At this point the Clinical Officer Council of Kenya officials will go through your application documents to verify their authenticity and if they meet the requirements.
- The applicant will be notified when the examination card is ready via telephone call and/or email after a period of five days. The applicant can download a copy of the Clinical Officer Public Practice License from the COC online platform.
- NOTE:
- All renewal applications will be subjected to an integrity vetting process and any false information provided by the applicants or other integrity issues will lead to prosecution and cancellation of the license.

- Click on “Lipa na Mpesa” and choose the option, Pay bill.
- Type in the Mpesa Pay bill number: 325100
- The account number is the invoice number Write the fee provided on the invoice generated on the COC portal.
- Type in your Mpesa pin.
- Verify the pay bill number, the invoice number, and the amount you are paying if they are correct.
- Click on okay to complete the payment. Wait for a message from the network provider with details of the payment.

Need for the DocumentEdit
- A Clinical officer is a person who, having successfully undergone a prescribed course of training in an approved training institution, is a holder of a certificate issued by that institution and is registered by the Clinical Officers Council.
- Clinical Officers must be licensed with the Clinical Officers Council and meet the council’s registration standards, in order to practice in Kenya.
- If a Clinical Officers does not renew their license their name will be removed from the national register and the registration will lapse according to Cap 260 of Kenyan law.
