- To apply for replacement of a Lost or Damaged Kenya Certificate of Primary Education (KCPE) or Kenya Certificate of Secondary Education (KCSE) certificate, the applicant should make the application to the Kenya National Examinations Council (KNEC) through the KNEC’s online portal: Query Management Information System (QMIS). Please click on this link to access the portal QMIS.
- On the QMIS portal, if the applicant already has an account, he/she should enter his/her user name and password to log in or if the applicant does not have an account, he/she should click on the “Register” button to create a new account.
- Upon clicking on the “Register” button, the applicant will be directed to the account registration page, here, the applicant will be required to provide his/her Full name, Mobile Number, Postal Address, Title/Designation, and Email Address.
- Once all the required details are provided, the applicant should click on the “Register” button and the QMIS system will automatically create the applicant’s account and refer the applicant to his/her registered email address to obtain the QMIS logging in credentials.
- Then the applicant should, open his/her email address, check the inbox and open the email from the “QUERY MANAGEMENT INFORMATION SYSTEM” and find the logging in credential ie User Name, and Password.
- Obtain the User Name and Password and login to the QMIS.
- Once logged in, click on the “Certification Letter” under the information to open the form.
- Then the applicant should enter, his/her Exams Index number and provide the rest of the required details (Exams, Year) and then click on the “Find” button, and the system will verify and provide the full name of the applicant in the “Name” box.
- Then the applicant should attach all the required documents in the attachments section. Note that the applicant can prepare all the required documents as mentioned in the “Required Documents” section below in a single file and attach the file by opening the “Required List” dropbox and selecting “Attachment if in one file” and clicking on the “choose file” button to upload the documents file and then click on the “Attach” button to attach the documents file.
- Once all the required documents are attached, click on the “Submit” button to send the application.
- Upon submission of the application, KNEC will verify the application and the documents submitted and then the system will generate and send a unique Pay-bill number and Account via SMS to the applicant indicating the total amount to be paid which is Ksh. 5220.00. Note that the fee is to be paid through M-Pesa.
- Upon making the payment, KNEC will process the application and inform the applicant once the processing is completed and a duplicate certificate is availed for collection at the KNEC office. Note that applicant can check their application status through the QMIS.
- Once the certificate is availed for collection, the applicant should visit the KNEC office with his/her valid identification document or passport to collect the duplicate certificate in person.
- If the certificate is for a minor, one parent of the minor or an official guardian of the minor will accompany the minor with his/her original identification card and the original birth certificate of the minor.

- An application form will be provided to the applicant by the concerned officer.
- The applicant has to fill in all the necessary details in the application form. (Incomplete applications are not accepted)
- Make sure that the applicant has attached all the necessary documents that are mentioned in the “Required Documents” section of this page.
- Submit all the documents with the completed form to the concerned officer.

- Copy of Certificate or Result Slip.
- Police abstract indication reporting of the loss of the certificate.
- Copy of Identification Document or Passport or Birth certificate for minors under the age of 18 with a copy of the Identification Card of at least one parent or guardian.
- A confirmation from the registrar of persons on the identity of the applicant. (Submitted at the point of application).
- One colored passport photo.
