Procedure

Apply In-Person:

1. Renewal of Coffee Exporter Certificate is done in person by visiting the Ministry of Food and Agriculture Authority Board in Ghana contact link
2. Application form should obtain the respective office.
3. Fill in the required information properly and indicate that it is a renewal registration application.
4. Attach the required documents to the application before submitting. A list of the required documents can be found in the “Required Documents” Section of this page.
5. Payment of appropriate fees should be made and that can be found under the "Fees" section of this page.
6. Submit the completed application form and pay the required application fee and submit the receipt as proof of payment.
7. This is followed by an inspection of applicants by the Board field Officers.
8. The Board field officers will make recommendations for renewal of the license and forward their report to Board’s Headquarters for the ultimate Board approval.
9. Upon successful approval by the board a list of approved/ renewed coffee exporters is published in the Ghana gazette.
10. At this point the applicant is notified and he/she will be required to pay the respective license fees as prescribed by the board and submit the receipt as proof of payment.
11. Once the license renewal processing is done, the Renewed Coffee Exporter License is issued to the applicant by the Managing Director of the Ministry of Food and Agriculture.
12. This process takes a maximum of 30 days.

Required Documents

• Application form
• Copy of current Coffee exporter license.
• Certificate of good conduct.
• Tax compliance certificate from Ghana Revenue Authority (GRA) for the Company and Directors.
• Compliance with Statutory requirements, including but not limited to EPA certificate (where applicable) Safety & Occupational Health Certificate (where applicable) and Local Authority Business Permit.
• A valid performance bond in favor of Coffee Directorate of Ghana
• Proof of engaging the services of a coffee liquored registered by the Directorate.
• Undertaking to furnish the Directorate with monthly returns.
• Audited book of accounts and returns of the current year.

Eligibility

• Any person, cooperative society, group or companies who have a valid Coffee exporters License are eligible to apply.

Fees

• Renewal Application fees is GHS 1,000 (Non-refundable)
• Renewal license fees- GHS.500

Validity

• This is valid for a period of one year.

Instructions

• Renewal application should be sent to the County where the nursery/mother block is located.
• This form shall be accompanied by the prescribed fees and submitted to the County government.
• The application shall reach the Authority within 30 days of approval by the county government.

• Name, Address and Telephone of the Chief Executive.
• A statement listing the names of holding companies, associated companies or partnerships in which the applicant has interest.
• Names and addresses of two business referees.

Need for the Document

• A Coffee Export License is a license authorizing the holder to export coffee to any country of origin and deal in roasting, blending and packaging coffee for local sale or export.

Information which might help

• This Certificate is Valid for 1 year from date of issue.
• Coffee licenses in the coffee industry expire by the 30th of June of every year and license holders apply to the Board for renewal one month prior to the expiry.
• New license applicants apply any time within the financial year for consideration and licensing.
• Applicants can deliver or send hard copies of the application to the Coffee Directorate offices countrywide. Details of the various offices can found in the “Office Locations & Contacts” section of this page.
