Procedure

Apply Online:
Step 1: Register with the Botswana Institute of Chartered Accountants (BICA) Portal

1. Using a bowser, the applicant should visit the BICA Website and register with the portal to access it online services such as membership registration.
2. Once on the home page hover the cursor and click on the “MyBICA” option on the home page, then click on “Access MyBICA Now” button.
3. This will navigate the user to the next page, click on the “Register” button to register with the portal.
4. On the next page enter all registration details, then click on “Send Verification Code”, this BICA system will automatic send a code to the register email.
5. Login your email address and locate the mail then enter the code after that click on “Register Now” to complete the portal registration process.

Step 2: Complete the membership application form.

1. Upon successful registering with the BICA portal, login your account using your credentials, then select “New Firms Application (Proffessional)” under “Your Application” drop list.
2. A list of all required documents that are to be attached to the application shall be displayed, these documents should be upload either as PDF, JPG, JPEG, PNG.
3. Then click on “Start Application” Button.
   • On the next page select “Firm Details”, then click on the “Continue” button.
   • Fill out the “Partners & Directors” section then click on the “Save and Exist” Button.
   • Fill out the “Accounting Services” section then click on the “Save and Exist” Button.
   • Attach all the supporting documentation as listed on the site; these documents should be upload either as PDF, JPG, JPEG, PNG.
   • Fill out the “Fits & Proper Questinnaire’ section then click on “Save and Exit” Button
   • Accept the terms and condition before clicking on the “Submit” button”

Step 3: Applications scrutinised and reviewed by the Membership Committee.

1. Upon receipt of the application dossier, it is checked for discrepancies or ineligibility If a discrepancy that cannot be immediately corrected exists in any of the documents, the application and all the submitted documents will be returned to the applicant and should not be re-submitted until the discrepancy has been rectified.
2. The application dossier will be evaluate assessed by the membership committee and shall approve the applicant to be registered as a Certified Public Accountant of Botswana (CPA) , where it is satisfied that the applicant has met all the registration requirements.

Step 4: Member receives Audit Firm Certificate of membership.

1. Notice of the decision (Approval, Deferral, or Rejection) for the application will be communicated to the client via the applicable communication channel.
2. Where the Authority is not satisfied that an applicant meets the registration requirements, it shall reject the application and notify the applicant in writing, stating the reasons for the rejection.
3. If approved, the Firm is registered with the Botswana Institute Of Chartered Accountants (BICA) as an Audit Firm and a certificate is drawn out/certified to be issued to the applicant, upon presenting/sharing proof of payment of the admission fees and annual subscription fees to be validated by the BICA office.(Please refer to the “Fees” section of this page for more information).

Validity

• Thevalidity of the membership certificate shall be mentioned on the document , and shall be subjected to an annually registration fees.
• Payment for the annual registration should be deposited at least a one week before lapse the previous payment as late payment shall attract an additional 50% penalty fees.
