ProcedureEdit

Apply In-Person:

  1. Renewal application for a coffee management agent certificate is done in person by visiting the Agriculture and Food Authority Board Head Offices in Ghana. Refer the following link -contact link
  2. Licenses issued by the Authority expire on the 30th June of every year and license holders wishing for renewal thereof may apply by 1st June preceding the expiry of the license.
  3. A coffee management agent certificate holder shall be renewable by 30th June of every year upon payment of the renewal fees.
  4. Visit the office and get an application form for coffee management agent certificate as applicable to the applicant requirement, from the respective department.
  5. Make sure that his/her have all the documents listed in the “Required Documents” section of this page.
  6. In addition to the required documents the board will require the applicant to submit returns for the year.
  7. Payment of appropriate fees should be made and that can be found under the "Fees" section of this page.
  8. The completed renewal application form submitted to the respective office.
  9. This will be followed by an inspection of applicant by the Board field Officers.
  10. The Board field officers will make recommendations for renewal of the license and forward their report forwarded to Board’s Headquarters for the ultimate Board approval.
  11. Upon a successful approval by the board a list of approved/ renewed coffee management agent certificate is published in the Ghana gazette.
  12. At this point the applicant is notified and he/she will be required to pay the respective license fees as prescribed by the board and submit the receipt as proof of payment.
  13. Once the license renewal processing is done the Renewed Management Agent Certificate is issued to the applicant by the Managing Director of the Agriculture and Food Authority.
  14. New certificate take a maximum of 30 days to process.

  • Renewal application form
  • A copy of current coffee management agent certificate.
  • A certified copy of certificate of incorporation.
  • A certified copy of memorandum and articles of association.
  • Certificate of good conduct.
  • Tax compliance certificate from Ghana Revenue Authority for the Company and Directors.
  • Compliance with Statutory requirements, including but not limited to Safety & Occupational Health Certificate and Local Authority Business Permit.
  • A certified copy of a comprehensive insurance cover from a reputable firm proportionate to volume of coffee handled as per insurance valuation.
  • Clearance certificate by the Coffee Exchange.
  • A letter of intent from an approved bank to give a guarantee.
  • A bank guarantee worth between US$ 1,000,000 and US$ 12,000,000 or one and half times the Free on Directorate value of the coffee transacted on each particular case less the transaction cost, whichever is higher (after the Directorate approves the application).
  • Undertaking to deduct and remit statutory levies based on the auction/declared value of coffee.
  • Undertaking to deduct and remit growers’ obligations.
  • Undertaking to furnish the Directorate with monthly marketing returns.
  • Proof of engaging services of a coffee liquored registered by the Directorate.
  • Any other requirements that may be prescribed by the Directorate from time to time.

  • Renewal application fees is GHS 1,000 (Non-refundable)
  • Certificate fees are communicated by the board after approval.

  • The certificate is valid for a period of one year.
  • The Certificate expires on the 30th June of every year.

Need for the DocumentEdit

  • A Coffee management agent certificate authorizes the holder to act as a management agent and offer professional services in the coffee industry.
  • No person can carry out business as a coffee management agent unless he has a valid Coffee management certificate. Therefore one needs to renew their license to continue with operations.



Information which might helpEdit

  • Coffee licenses in the coffee industry expire by the 30th of June of every year and license holders apply to the Board for renewal one month prior to the expiry.
  • Applicants can deliver or send hard copies of the application to the Coffee Directorate offices countrywide. Details of the various offices can found in the “Office Locations & Contacts” section of this page.
  • In Ghana no person shall, for commercial purposes of buy, sell, pulp, mill, warehouse, export or otherwise deal in or transact any business in coffee unless he holds a current license issued by the Authority or the respective County Government for that purpose.
