Procedure

Apply In-Person

1. To apply for vehicle trade certificate, applicant has to approach the RTO office to which his area belongs to.

3. An Application for the grant of a trade certificate shall be made in Form 16. Application form can be obtained in the following link Form 16 link
4. Application should be made separately for individual class of vehicles: motor cycle, invalid carriage, light motor vehicle, medium passenger motor vehicle, medium goods vehicle, heavy passenger motor vehicle, heavy goods vehicle, any other motor vehicle of a specified description
5. Make sure you have all the necessary documents to process the application
6. The applicant should make sure they are eligible for applying for this procedure
7. Application forms can also be obtained from the respective RTO offices
8. Present the completed application forms in one of the counter and pay the appropriate fee where the officials would start processing your application.
9. On receipt of an application in respect of a class of vehicle, the registering authority may issue certificate a trade registration mark if satisfied.
10. It consists of registration mark referred to in notification and followed by two letters and a number containing not more than three digits for each vehicle, for example
    1. AB - Represent State Code.
    2. 12 - Registration District Code.
    3. TC1 - Trade certificate number for the vehicle.
11. No applicant for trade certificate shall be refused by the registering authority unless the applicant is given an opportunity of being heard and reasons for such refusal are given in writing.

Apply through State Portal

1. In order to apply online, please follow the link online state portal link
2. Select “Trade Certificate system” option from the drop down menu under “Online services” to get next page.
3. If you are a new user, please select “Click Here:- Apply for Dealer Trade Certificate” to register
   1. Please use the credentials to login by hitting “Login” tab.
4. Select “New Dealer Enrolment” option on the left side of the window to get fresh screen with details prompted
5. Please Enter / Select the details as displayed and hit “Save Enrolment” to get the next page with entered details and option to pay the fees.
6. Once the payment is made and appropriate options are processed to complete online procedure.
7. Upon completion, an application slip will be generated. Take the printout and go to RTO office to complete the rest of the procedure as per guidance.
8. From this point the process of apply in person will be carried out to grant the license

• Dealership letter from manufacture or any other appointing letter.
• The map of your workplace.
• PAN number of the trade owner.
• Any valid address proof (such as Voter ID etc. )
• GST Number of your business/firm.
• Documents of your workplace (documents of the place where you run your business or the Rent agreement if your run your business on rent)
• Photographs of your work place.
• Aadhaar Card

• All original and copy of original with self attestation as advised by respective authorities to be submitted as per requirement.
• Apart from the above documents, authorities may ask to submit additional information or documents. Please provide them for processing.

Validity

A trade certificate granted shall be in force for a period of twelve months from the date of issue or renewal. (shall be effective throughout India.)

Need for the Document

• Trade certificate is required by the bonafide dealer of a vehicle manufacturer.
• This certificate is issued for different class of vehicles like M/C, LMV, GOODS CARRIER, THREE WHEELER, MOTOR/MAXI CAB.
• This certificate is needed for an agency to use the vehicle for test-drive and demo purpose.

Information which might help

• The trade certificate shall be carried on a motor vehicle in a weather-proof circular folder and trade registration mark shall be exhibited in a conspicuous place in the vehicle.
• No holder of a trade certificate shall deliver a motor vehicle to a purchaser without registration, whether temporary or permanent.
