ProcedureEdit

  • A non-governmental organization (NGO) is a non-profit, voluntary citizens’ group that is organized on a local, national or international level.
  • All NGO’s must be registered by NGO Coordination Board in accordance with the NGO coordination Act.
  • All applications must be accompanied by a Criminal Clearance Certificate.

Apply In-PersonEdit

  1. The Board of directors of a NGO should carry out a meeting and take minutes authorizing the change of office bearers signed by both outgoing and incoming officials.
    (i). Minutes should be submitted within 14 days from the date of meeting.
    (ii). Minutes should have an agenda of incorporation of new members if new members are been brought in the organization and were never in our records.
    (iii). Minutes should also indicate the process of bringing in new officials if it was through elections, expiry of term, disciplinary decision, resignation or death. You can also specify other reasons which are not indicated here.
    (iv). The meeting for changes can either be Annual General Meeting or Special General Meeting depending on the reason for changes.
    (v). Minutes extracts or resolutions communicated in the absence of full minutes are not accepted.
  2. Visit the Non-Governmental Organizations Co-ordination Board offices to obtain application forms. These forms can also be downloaded online by visiting the NGO Bureau Website. These forms include:
    (i). Notification of Change of Office Bearers - Form 13 to be filled by both outgoing and incoming officials should be properly executed to avoid the changes not to be confirmed.
    (i). NGO Registration Form - Form-3 which is to be filled and signed by incoming officials only, the particulars of the incoming official should be properly filled and legible.
  3. Submit the application forms, minutes and all required documents to the Non-Governmental Organizations Co-ordination Board.
  4. You should then proceed to pay the processing fees and summit the receipt to the Non-Governmental Organizations Co-ordination Board offices. A Processing fee of KSH. 4,000 is charged for the recommendation letter. Payments by Cheque or cash should be made to:

  5. The processing time is one day, thereafter the NGO’s contact person and the Outgoing Officials will be contacted by the NGO board and be notified about the updated changes.

Note
(i) At least one Kenyan MUST hold a substantive position i.e. chairperson or treasurer
(ii) In the formation of the board at least 1/3 of the board members MUST be Kenyan for foreign based NGOs

Required DocumentsEdit


  1. Dully filled Notification of Change of Office Bearers - Form 13 by both outgoing and incoming.
  2. Dully Registration Form - Form-3 filled and signed by incoming officials.
  3. All applications must be accompanied by a Criminal Clearance Certificate. An equivalent of a certificate of good conduct in Kenya from the applicant’s Country of origin.
  4. Original minutes authorizing the change of office bearers signed by both outgoing and incoming officials.
  5. In case of death there should be a copy of the death certificate, Affidavit from the local Administration, Eulogy or copy of newspaper advertisement from any of the local dailies.
  6. 2 passport size photographs of the incoming officials on a white background.
  7. A copy of the ID/Passport of the incoming official(s)

  • The validity period is forever or until the organisation decides to change the Officials again.

  • The Non-Governmental Organizations Co-ordination Board is a State Corporation established by the Non-Governmental Organizations Co-ordination Act (Cap 19) of 1990. The Board has the responsibility of regulating and enabling the NGO sector in Kenya.
  • The Board is currently under the Ministry of Interior and Coordination of National Government.
  • At least one Kenyan MUST hold a substantive position i.e. chairperson or treasurer.
  • At least 1/3 of the board members MUST be Kenyan for foreign based NGOs.
  • All NGO applications should be typed or filled in block letters.
  • In case of death there should be a copy of the death certificate, Affidavit from the local Administration, Eulogy or copy of newspaper advertisement from any of the local dailies.
  • All applications MUST contain ORIGINAL signatures of the officials and members as applicable.
