Procedure

Apply In-Person

1. The validity period of any registered society including that of a Botswana Societies Act is indefinite; however, every registered society will be required to file its annual returns, not later than the 31st March in each year with the registrar at the nearest local Civil and National Registration office. 2. Every registered society shall furnish to the Registrar an annual return in the form set out in Form H, obtainable at any of the local Civil and National Registration offices. Copies of these forms are not available online.
3. The annual return form shall be completed in triplicate and signed by two office-bearers and it shall be the duty of every office-bearer to ensure that such annual return is duly furnished to the Registrar.
4. Upon receipt of the annual return form, the registrar shall verify if all the required information and documentation have been provided in the “Required Documents” section of this page.
5. In case of any discrepancies or ineligibility in the application documents. If a discrepancy that cannot be immediately corrected exists in any of the documents, the application and all the submitted documents will be returned to the applicant and should not be re-submitted until the discrepancy has been rectified.
6. After the successful screening of the submitted documents, the Registrar will file the society's annual return.

Validity

A Self-Help Group or Community Projects Registration Certificate is valid indefinite unless suspended, revoked, or cancelled by the Authority; However, the society's annual returns are to be submitted to the registrar not later than the 31st March in each year.

• Registered Name of the Society
• Date of last annual general meeting
• The present number of members of the Society
• Office-bearers for the current year details
• Any changes within the society
• Declaration by two office-bearers.

All registered Self- Help Groups or Community Projects are required to file their annual returns with the society's registrar so at to prove that the society is still in existence and is operating as per the Botswana Societies Act.
